How To Onboard a Remote Virtual Assistant in Under a Week
The most common reason VA placements fail is not a bad hire. It is a bad onboarding.
A VA who joins a disorganised, unclear environment will underperform - not because they are not capable but because they do not know what good looks like in your world.
Here is how to onboard a remote virtual assistant in under a week and set the relationship up for long-term success.
Before Day 1 - Preparation (Do This the Week Before They Start)
- Email address
- Slack or Teams
- Any tools they will be using - Notion, Asana, HubSpot, Shopify, whatever is relevant
- Have their login details ready before they start
- Nothing kills momentum on day one like waiting 3 hours for IT access
- One page
Day 1 - Introduction
Schedule a 60-minute onboarding call.
- Overview of your business - what you do, who your customers are, what stage you are at
- Overview of their role - what they own, what they do not own, who they interact with
- Your communication style and preferences
- The tools they will use and a brief walkthrough of each
- Their first week of tasks with clear instructions and deadlines
- How they should ask questions
Days 2-3 - First Tasks
They should be working on their first tasks now. Do not hover but do check in.
At end of day 2, review their work. Give specific feedback immediately - not "this is great" or "this needs work" but exactly what is correct and exactly what to change.
